Earnings

Everything below is worked out from this figure and the percentages you set. Basic must be 50–70% of CTC (Code on Wages, effective FY 2026-27); HRA is capped at 60% of Basic as a sanity check, since there's no legal maximum. Employer PF and gratuity (below) are also carved out of CTC before Special Allowance gets the rest, matching the CTC-to-Take-Home calculator.

Basic Pay (always on)
% of CTC
HRA
% of Basic
Conveyance / Special Allowance

These two are part of your CTC but never appear on the payslip, since nothing is deducted from you for them. Turning them off gives Special Allowance more of the CTC instead.

Employer PF (12% of Basic, included in CTC)
Gratuity (4.81% of Basic, included in CTC)

Deductions

Professional Tax, ESI, Income Tax and Loan are plain amounts you enter. This tool does not calculate tax rules for you. Professional Tax is capped at Rs. 300/month (Rs. 2,500/year, the constitutional limit in every state).

Provident Fund (PF) employee share
% of Basic

The employer's matching PF contribution is not shown here, since it isn't deducted from your pay.

What a salary slip should include, and what this tool leaves to you

A salary slip is proof of employment and income, used for loans, visas, rentals and tax filing. Whether you run a small shop with two employees or a growing team with a full salary structure, the slip needs to be accurate and easy to check. Here's what goes into one, and how this tool handles it.

What a salary slip needs to show

At minimum, a payslip needs the employee's name, the pay period, and the net amount paid. A fuller slip adds the company name, a breakdown of earnings like Basic Pay and HRA, deductions like Provident Fund and Professional Tax, and identifiers like an employee ID or UAN. Not every business needs all of this. A small shop paying a flat monthly wage has no real components to break down, and forcing one onto a form doesn't make the payment any more official.

How this tool handles it: Turn on Simple Voucher Mode for just a name, month and amount. Turn it off for a full breakdown with Basic, HRA, deductions, and the identifiers a bank or employer might ask for.

Why this tool doesn't calculate tax or PF for you

Income tax deducted at source depends on an employee's full year of projected income, the tax regime they've chosen, and any investment declarations they've made, none of which a single month's slip can capture correctly. Provident Fund and ESI have their own contribution rules that vary by wage level and company size. Getting any of these wrong on an official document is worse than leaving them blank.

How this tool handles it: PF, Professional Tax, ESI and Income Tax are amounts you type in yourself, calculated wherever you already calculate them. For an income tax estimate on a given salary, CalcBazaar's CTC to Take-Home calculator is the right tool.

Loss of Pay and a one-time bonus

Most months follow the same salary structure, but a specific month rarely does, someone takes unpaid leave, or gets a festival bonus. A slip generator that assumes every month is identical can't produce an accurate slip for those months.

How this tool handles it: Once you pick your months, any month can carry its own LOP days or bonus, without touching the structure for the rest of the year. LOP is costed against that month's actual number of days.

Why gratuity isn't on this slip

Gratuity is a lump sum paid when an employee leaves after 5 or more years of service, calculated on their final Basic Pay. Nothing is deducted from a monthly salary for it, so it has no place on a monthly payslip. Some CTC breakdowns mention it as a future benefit, which is a different kind of document from a payslip.

Putting it all together

1.

Choose Simple Voucher Mode or a full breakdown, and pick a template and logo if you want one.

2.

Fill in the company and employee details, and set up earnings and deductions once.

3.

Pick your months, and add LOP or a bonus to any month that needs it.

4.

Click Download PDF for one file, or Download as ZIP for a separate file per month.

Note: this tool gets the format, math and layout right, but the amounts must reflect salary actually paid. For questions about your specific tax or compliance obligations as an employer, check with a chartered accountant.
